A good job application letter can get your CV read even when hundreds of people are applying. In Pakistan, employers still ask for an application with a CV, especially for private companies, NGOs and schools. This guide shows the correct job application letter format, what to write in each paragraph and three ready samples you can adapt.
What is a job application letter?
A job application letter (also called a cover letter) is a short, formal letter that introduces you, names the post you want and explains why you are suitable. It does not repeat your entire CV. It makes the reader want to open it.
Job application letter format
- Your address and the date at the top.
- Receiver’s details: the name or title of the person (for example, The Manager, Human Resources), the company and its address.
- Subject line: “Application for the post of [job title]”.
- Salutation: “Dear Sir/Madam,” or the person’s name if you know it.
- Opening paragraph: state the post and where you saw the advertisement.
- Middle paragraph: summarise your qualification, skills and relevant experience.
- Closing paragraph: thank the reader and request an interview.
- Sign-off: “Yours sincerely,” followed by your name, phone number and email.
- Enclosures: CV, certificates, CNIC copy if requested.
Tips before you write
- Read the advertisement carefully and match your skills to the listed requirements.
- Keep the letter to one page.
- Use simple, polite English. Avoid long sentences and slang.
- Address the letter to a person or department wherever possible.
- Use a professional email address, such as your name, not a nickname.
- Proofread twice. Spelling mistakes in the first paragraph can cost you the interview.

Sample 2: Application for a teaching post
Subject: Application for the post of Primary School Teacher
Dear Principal,
I have learnt of a vacancy for a Primary School Teacher at your school and wish to apply. I hold an MA in English and a B.Ed., and I have two years of experience teaching English to students of classes 3 to 5.
I use activities, stories and short quizzes to keep children engaged, and I regularly communicate with parents about progress. I believe my patience and creativity would be useful in your school.
My CV and certificates are enclosed. I would welcome the chance to give a demo lesson or attend an interview.
Yours sincerely,

Sample 3: Application in response to a government advertisement
For most government jobs, you apply through an online portal, not by letter. However, some departments still ask for a handwritten or typed application with attested documents. In that case, begin with: “With reference to your advertisement published in [newspaper] dated [date], I wish to apply for the post of [post title] (BPS-__).” Then list your qualification, domicile and age, and enclose attested copies. Common mistakes to avoid
- Copying a sample word for word
- Writing “To whom it may concern” without trying to find a name
- Listing duties instead of achievements
- Talking only about what you want, not what you can offer
- Sending the same letter to every company
